Privacy Policy


Privacy Policy.

The provision of personal information other than the name (first and last only) on your NARA badge and your email is not required by the NAVA forum. Supply of any other personal information is voluntary and access to that by other members is controlled by the member his/her self with the privacy settings in their profile.  Administrators and moderators of the NAVA forum have access to the member's email addresses, but other members do not.  Administrators additionally have access to the member’s IP addresses.

The NAVA forum operates on the vBulletin Inc. (a division of Internet Brands) cloud platform and some vBulletin technical personnel do have administrator access.For more inforamtion about vBulletin’s policis as they relat to cloud based plaforms can be viewed here.

NAVA does not provide member information to any outside entity for any reason.  The only public facing pages of the NAVA forum are those for Login and Registration. The forum is closed to the public and only members who have volunteer badges from the National Archives have access beyond the sign on and registration pages. Commuications over the interent between the user's browser and the vBulletin server is encrypted as are the username and password in the vBulletin servers.

While every effort is taken by NAVA and the volunteers who administer and moderate the forum to maintain the privacy functionality of the forum, should system malfunction, configuration error or any other unintended circumstance result in an unintended release of a member’s personal information neither the National Archives Volunter Association, Inc. (NAVA) (owners of this site), nor vBulletin Solutions, Inc. (developers of vBulletin) will be held responsible.

Sharing Login & Password is Prohibited.

To maintain the security of the forum and control access to those who hold NARA volunteer badges, letting another person use your login credentials is STRICTLY PROHIBITED. Allowing someone who is not a volunteer have access could breach NAVA’s commitment to NARA. Any member that does share their credentials – particularly to those who are not NARA volunteers, will be banned from the forum.

Password and User Name Security.

Users are instructed to use at least eight (8) characters for both User Name and Password and both are encrypted on the cloud servesr at vBulletin.

A brute force or guessing attack on the password is prevented by locking the process after five failed attempts.The NAVA Forum cannot receive any incoming email which precludes a Spear Phishing attack. The CONTACT US button sends an email to the Administrator at an address managed by NAVA. A user must log in with correct ID and Password to read any private messages.

Human Verification.

Human verification that is provided through Google’s ratification intelligence service is enabled for registration and possibly other situations.  

How Cookies are Used by the Forum.

Cookies are very small text files that are stored on your computer when you visit some websites. 
We use cookies to help identify your computer. You can disable any cookies already stored on your computer, but these may stop our forum from functioning properly.

The following is strictly necessary in the operation of our website.

This Forum Will:

  • Use cookies to track your current login.
  • Use cookies to track your current session.
  • Use cookies for AJAX communication with the server.
  • Use cookies to track read marking on specific topics.

This Forum will not:

  • Share any personal information with third parties.
  • Share your information with social networks.

What is 'Automatic Login'?

When you register (and also when you login using the form at the top of the screen), you will be given the option to 'Remember me'. This will store your identity securely in a cookie on your computer. If you are using a shared computer, such as in a library, school or internet cafe, or if you have reason to not trust any other users that might use this computer, we recommend you do not enable this.
